Uploading Calendar Items from Outlook 2007 using iCalendar Export

If you have recurring appointments, we suggest using the iCalendar option if you choose not to use the Google Apps Sync option.  This option will transfer recurring appointments as a single calendar item.  You must use Outlook 2007 for this option.

These directions will only work with Outlook 2007.  If you do not have Outlook 2007, you must either upgrade or use a computer with Outlook 2007.  Recurring events must have an end date in order to upload to the Gmail calendar.  We suggest entering an end date for any recurring event that has doesn’t have one prior to exporting the calendar. 

Step 1: Export Calendar from Outlook 2007

Open Outlook 2007

Select your Calendar from the folder list as seen in the image below:

Go to File and choose “Save As”

A “Save As” window will appear as seen in the example below.  Select an appropriate location such as your desktop to save the file to.

 

Choose “iCalendar Format” from the “Save as type” drop down box.

Click on the “More Options” button

A window similar to the image below will appear.

Select “Specify Dates” from the Date Range field and enter the date range you wish to export.  If you wish to export multiple years of data, we suggest exporting separate files for each year.

In the Detail section, select “Full details”

If the “Advanced:” section is not visible, click on “Show”.

Check the box beside “Include details of items marked private”

Click OK

Click on Save to save the file.


Step 2: Import Calendar into your Gmail account:

Log into Gmail using your network username and password.

At the top of your Gmail window, click on Calendar.

On the calendar window, Click on Settings at the bottom of the “My Calendars” section as seen circled in the image below.

 

Click on “Import Calendar” in the Calendar Settings Section and a window similar to the image below will appear:


Click Browse and select the file created in the export step above.

 

Select Open & the filename should display in the “Select File” field.

 

From the drop-down menu, select the calendar to which you would like to import events.  Unless you have created multiple calendars, you should only have one listed as your username@lipscomb.edu address.

 

Click Import to complete the import.


Once the import is complete, you will be given a status of the number of events that were imported successfully.
